The software should support the assessment structure used by your school. Confirm whether it can handle continuous assessment, examinations, grading ranges, attendance, behavioural development, psychomotor assessment, and cumulative results where required.
Ask the provider to demonstrate these functions using a realistic school example.
2. Ease of Use for Teachers
A platform may contain many features but still fail if teachers cannot use it comfortably. Score-entry screens should be clear, and staff should not require advanced computer knowledge to complete basic tasks.
During a demonstration, allow at least one teacher or examination officer to test the workflow.
3. Administrative Review and Control
School administrators need visibility into the result process. Look for controlled staff access, missing-score checks, result review, approval stages, and clear responsibility for final report generation.
Teachers and administrators should not necessarily have the same level of access.
4. Professional Report Cards
Examine the report-card format carefully. It should present student information, subjects, scores, grades, comments, attendance, and developmental assessments clearly.
Also check whether the system supports your school’s logo, preferred layout, PDF downloads, printing, or email delivery.
5. Student Capacity and Pricing
Compare the student limit for each plan with your current enrolment and expected growth. Ask whether pricing is monthly, termly, or annual and whether onboarding, support, custom templates, backups, and future upgrades involve additional costs.
The lowest initial price may not provide the best long-term value.
6. Data Security and Backups
Student results are sensitive records. Ask the provider who can access the data, how accounts are protected, how backups are handled, and what happens to your records if you change plans or stop using the service.
The school should also use strong passwords and remove access when staff members leave.
7. Training and Support
Find out what happens after payment. A reliable provider should explain how the school will be set up, how staff will be trained, how questions are submitted, and how quickly support issues are handled.
Good onboarding can determine whether teachers accept the new system.
8. Ability to Grow With the School
Your school may add students, classes, subjects, or campuses in the future. Select a system with plans that allow you to expand without rebuilding all your records.
